Shadowfest set-up begins on April 4 and breakdown ends on April 9, so you have 5 days to complete your required shifts. Please indicate on the application form how many shifts you can work. Here are your options:
- 8hrs (2 X 4hr shifts) = Volunteer T-shirt + 50% off one 3-day ticket
- 12hrs (3 X 4hr shifts) = Volunteer T-shirt + One free 3-day ticket
- 16hrs (4 X 4hr shifts) = Volunteer T-shirt + Two free 3-day tickets
- 20hrs (5 X 4hr shifts) = Volunteer T-shirt + Two free 3-day tickets+ One meal per shift
- 24 hrs (6 X 4hr shifts) = Volunteer T-shirt; two free 3-day tickets + One meal per shift + One free 10’X10’ campsite

There are lots of shift times every day and you can sign up for the days and times that work best for you. However, every volunteer MUST sign up for at least one 4hr shift on April 4, April 5 OR April 9; AND every volunteer MUST sign up for at least one 4hr shift on April 6, April 7 OR April 8
Some shifts may fill up sooner than others, so sign up early!
EVENT NINJAS
There are volunteers, and then there are EVENT NINJAS. These are the people who know how to make an event fabulous! These are the best roles for people who have volunteered at least once before at a festival. Event Ninja jobs are more involved and require more training and a bigger time commitment than our general volunteer roles so shifts and swag are different:
- Minimum time commitment: 16hrs (4 shifts X 4 hrs each) = One Volunteer T-shirt + One Regular Event T-shirt + 2 Free 3-Day Tickets + 1 meal per shift
- Service Ninjas and Ops Ninjas may combine their Ninja hours with regular Volunteer hours to earn a campsite reward.
Service Ninjas
Service Ninjas staff the Customer Service Kiosk. This is a soup-to-nuts job requiring maximum patience and just the right levels of accommodation vs firm alignment with the rules. You will replace broken wristbands, help people with all their event and non-event problems and generally help attendees feel heard and helped. Previous experience in a customer service, retail or food service job is helpful.
Ops Ninjas
Ops Ninjas are the right hands of the Volunteer Coordinator. They might need to step into any volunteer shift, and are the out-of-the Kiosk wing of the Customer Ninja Crew. Ops Ninjas answer questions, provide directions, problem solve, and make sure volunteers have what they need. Note: this is not stage/sound production.
JOB DESCRIPTIONS
Kid Zone
Check-kids in and make sure they don’t leave with anyone who isn’t their parent. Lead craft workshops and wrangle stray children. Clean and organize in the morning & end of day. Must be 18 or older; requires a background check.
ADA Assistance
Help guests with disabilities by helping them to their campsites and assisting them with any other services they need to have an enjoyable time at the festival.
Alcohol Service
Responsible for bartending or bar-back work in the Shadowbar or serving alcohol elsewhere on the grounds during the event. You must be 21 or over and have a valid Indiana Alcohol and Tobacco Commission Employee Permit Record Number. You can find the link to get the permit HERE
Artist Wrangler and VIP Host
Support the Music Producer by helping direct artists and Total Eclipse Sponsor VIPs to where they’re supposed to be, watching their belongings and making sure they have what they need.
Campground Monitors/Green Team
Monitors patrol the camping areas, helping guests to find what they need, making sure guests are following our Event Guidelines, picking up trash and generally keeping our campgrounds peaceful and tidy. Monitors may also be called upon to assist people with special needs.
Catering Crew
If you love being in the kitchen, this is the position for you! This Crew helps prep and serve food for performers and volunteers during the festival weekend. Professional kitchen or serving experience is helpful.
Gatekeepers/Registration
Gatekeepers help with the registration process during busy periods, and otherwise check credentials at wristband checkpoints, accompanying people to the Customer Service Kiosk who have incorrect credentials.
Media Mogul
Be an official photographer, videographer, interviewer and collector of media permissions.
Medical Team
Those with CPR, EMT, RN, MD, first aid or harm reduction experience may be perfect candidates to support our professional providers.
Merchandise/Raffle Booth
This crew acts as sales associates in the booth, assists with picking out products for customers and helping customers register for raffles. Merchandise will include both performer and festival merchandise and requires keeping accurate records at all times. Retail sales experience is helpful!
Parking Help
Pretty straightforward. During busy arrival and departure times, you’ll make sure cars park and exit in an orderly fashion.
Postfest Breakdown
Breakdown and clean-Up will begin as soon as the eclipse is over, and will continue through Tuesday, April 9. Tasks include picking up whatever our revelers have left behind and generally returning the fairgrounds to its pre-event state.
Prefest Set-Up
We need all hands on deck for a variety of tasks – marking off tent sites, adding lights, cleaning, organizing, and generally creating a welcoming environment for attendees. You should be able to be on your feet and working for the entire shift. If you have an injury or condition which limits you to lighter-duty work, please let us know in your application. Note: this is not stage/sound production.
Vendor Assistance
Help vendors find their locations, navigate load in, and help with load out. Convey any issues vendors are having to those who can help.
